Client Services

Expectations of Client Services Volunteers

 Holiday Wish Program (C1 - A3)

  1. Ensure that gifts are safe and age appropriate for the recipients 
  2. Toys should be in their original packaging (primarily so that all instructions and safety warnings are available for the parents.)
  3. Clothing and blankets should be clean and usable.

Donation Drives (C1-A2)

  1. Prior to beginning the drive, please communicate with HRI to find out what items are needed most. 
  2. HRI will provide flyers or other marketing material as needed
  3. Please inform HRI of the dates of the drive and any other relevant events surrounding the drive. 
  4. Please provide periodic updates on the progress of the drive.
  5. Please inform us of the results of the drive. 

In-Kind Donations (C1-A1)

Forensic Physicians Program (C1-C1)

  1. Once a physician has registered as a volunteer, a member of the HRI Client Services department with contact him/her to schedule an appointment with an HRI client.
  2. Forensic Physician Volunteers are expected to follow the same best practices they would with any other patient. 
  3. Please use compassion when talking with clients.  Many of them may have strong emotional reactions as they relay information about their physical scars.
  4. Please be aware that your examination and report may be used in court and that they may be called to testify. 
  5. Please inform HRI before performing the examination if you are unable to perform these duties for any reason.

Mentor (C1-B)

  1. Mentor should commit to meeting his/her mentee at least eight hours a month for six months.
  2. Communicate with the Client Services Administrator once a month for guidance as well as to report on mentor/mentee activities
  3. Return telephone and/or email messages to mentee or the Client Services Administrator within 48 hours.
  4. Inform mentee at least 24 hours in advance of a change in your schedule that prevents you from attending a planned activity.
  5. Avoid missing or arriving more than 20 minutes late for two meetings or activities as this will disqualify you from participating in the program. 
  6. Do not engage in any of the activities discouraged in the program guidelines; this will lead to a meeting with the Client Services Administrator and/or other relevant HRI staff and may permanently bar the volunteer from the program.
  7. Complete an evaluation of the mentoring program for HRI staff at the end of the six months.
  8. Communicate with the Client Services Administrator or other HRI staff if you are uncomfortable with your mentee match.
  9. We strongly discourage allowing visits with the client at the volunteer's home, especially during the initial six-month commitment period, as well as disclosing home telephone numbers.  Please use cell phone numbers as the first option when possible.
  10. Respect your mentee.   Mentors are the clients' lifelines.  They can provide clients with basic information and help with the "ins and outs" of living in America.  Since mentors have a privileged relationship with HRI clients that occurs outside of the confines of HRI headquarters, mentors are expected to conduct themselves with the utmost courtesy and respect in their dealings with HRI clients.
  11. Inappropriate relationships will not be tolerated and will result in immediate removal from the program, with the potential of legal action.  Mentors may also be removed from the program if they take the client to an inappropriate or unsafe location.  Mentees are well versed in their rights and are instructed to contact HRI if they feel any threat from their mentors. 

Mentor/Mentee Safety

  1. Meetings between mentor and mentee should occur in public places. 
  2. Mentors and mentees should never exchange address information or home phone numbers, but instead should use cell phones. 
  3. If a mentor ever feels uncomfortable with the mentee, or a mentee feels uncomfortable with a mentor, he/she should inform HRI so that a new assignment may be made.  
  4. Mentors should also make HRI aware if the client asks for money or other necessities.  
  5. Mentors should not fulfill such requests.
